Advancement Coordinator, Institutional Advancement (Confidential position)


The Advancement Coordinator will serve as a key administrative role in Institutional Advancement for the College. Institutional Advancement focuses on development/ fundraising, public relations/ media, communications, alumni, government and community relations for the College. This position will serve as the primary, confidential, administrative support position for both the Chief of Institutional Advancement and the Executive Director of Development Center.  The Advancement Coordinator serves as the primary point of contact for many internal and external constituencies pertaining to Institutional Advancement on behalf of the Chief.

The Advancement Coordinator must be creative and enjoy working within a small, entrepreneurial environment that is mission and results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, coupled with strong written and verbal communication skills, excellent organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Advancement Coordinator will work both independently on projects and with a team, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. The position will have contact with faculty, staff, students, donors, businesses, industry, professional organizations, media, government representatives and community leaders.

Essential Duties:

  • Act as a point of contact between Institutional Advancement and internal/external donors, prospects, supporters, and representatives in the fields of media and government.
  • Communicate on behalf of the Chief of Institutional Advancement and the Executive Director of Development as appropriate.
  • Manage schedules, meeting coordination, professional and internal correspondence, and other essential support duties for the Chief and Executive Director.
  • Proactively manage multiple projects and priorities and reconcile conflicting needs with excellent follow through.
  • Plays key role in gift processing, including acknowledgement letters, pledge reminders, data entry in coordination with Foundation Liaison and Foundation Finance Officer
  • Supports stewardship processes involving confidential donor and student information with receiving and implementing student scholarship awards.
  • Leads on targeted mailing efforts with the cycle of Cincinnati State's Annual Fund, needs of the Alumni office, as well as events.
  • Provide a bridge for smooth communication between Chief's direct reports and internal focuses, as well as with contractors, like campaign counsel, demonstrating leadership to maintain credibility, trust and support with team.
  • Serves as a liaison to support campaign work, whether Annual Fund, capital or comprehensive campaign as determined by the College.
  • Coordinate meetings, including scheduling, minutes, logistics, and other considerations.
  • Oversee special projects as assigned.
  • Be available for events and efforts outside of Mon-Fri 9a-5p, including weekends and evenings.
  • Maintain efficient documentation filing system.
  • Prepare presentations, reports, spreadsheets, charts, meeting minutes, and other business information, with accuracy and efficiency
  • Other duties as assigned.

Minimum Qualifications:

  • Associate degree required.
  • Minimum of two years of experience supporting development/fundraising operations or other professional experience.
  • Demonstrated competency in Microsoft Office: Advanced proficiency in Outlook, Excel, Word, and PowerPoint. Proficiency may be demonstrated by holding a Microsoft Office Specialist certification (earned within the last 5 years), or through testing such as completing a technical assessment through the Kinexa Prove It! System with a competency score of no less than 75.
  • Internet proficiency and strong oral and written communication skills.
  • Demonstrated ability to work independently, pay attention to detail, maintain confidentiality and meet deadlines.
  • Ability to lift/move packages (up to 25 lbs.) on an intermittent basis.
  • Availability to work special events and activities on weekends and/or evenings as needed.

Preferred Qualifications:

  • Bachelor of Science or Bachelor of Arts degree.
  • 2 years of professional experience within an institution of higher education.
  • Professional experience working as part of a team charged with executing a major fundraising campaign.
  • Experience with Raiser's Edge, Academic Works, Blackboard, Datatel, Perceptive Content.

Key Performance Indicators (KPI):

In order to provide clear expectations and promote the Coordinator's success, several performance measures have been established. The indicators and the measurements used to evaluate them include the following:

  •  Effective Communication / Customer Service: measured by accolades/complaints by constituents both internal and external
  • Accuracy: measured by errors in processing, peer review, system audits
  • Timeliness: measured response time to returned/revised work (length of time in queue), feedback
