Institutional Advancement & Cincinnati State Foundation Operations Director


Under Cincinnati State Technical & Community College's Institutional Advancement, the functions of fundraising (private and public funds), public relations, alumni relations, government and community relations, retiree relations are key focuses for achieving the College's mission. The Cincinnati State Foundation is a non-profit legal entity that operates exclusively for the benefit of Cincinnati State Technical and Community College and falls under Institutional Advancement. Through its volunteers and programs, the Foundation supports the scholarships, programs, services and capital improvement projects of the college. Cincinnati State's Institutional Advancement and Foundation provides scholarships and educational support with an annual budget of over $2 million and assets over $16 million. The Foundation has seen sizeable growth in recent years thanks to fundraising and investment. The Foundation is overseen by the Chief of Institutional Advancement of the College who is also the Foundation's Executive Director. Under Institutional Advancement, public grants are also solicited and leveraged.


Reporting to the Chief of Institutional Advancement (IA) and Foundation Executive Director, the IA & Foundation Operations Director will help refine and manage infrastructure processes and systems needed to process, acknowledge and ensure the proper use of charitable and grant funds received in support of the Foundation and College. This position will help oversee such processes to so that the current and anticipated further growth of donations and grants continues. As a member of the Institutional Advancement team, the IA & Foundation Operations Director will be involved in departmental planning and provide expertise to the office as it relates to the administration and accounting of donations to the Foundation, as well as budget matters in all areas of College Institutional Advancement department, to include Alumni affairs. A special emphasis will be made in accounting and reporting efforts around major gift work, scholarships and public grants.

Specific responsibilities include:

Operations Management

  • Prepare in coordination with IA team for weekly IA meetings on all matters involving solicitations and stewardship of donations and grants.
  • Track and schedule IA office and Foundation board matters in coordination with IA.
  • Serve as key liaison with College partners overseeing implementation and tracking of funds with Deans, Finance and managers.
  • Assist Chief of Institutional Advancement as needed for unique fundraising efforts, grant agreements or gift acceptance situations.
  • Assist Alumni Affairs and Development Manager with Alumni Association financial and budget matters.

Financial Management

  • Prepare and present Foundation monthly and annual financial reporting materials and metrics for Cincinnati State Foundation's board of directors.
  • Oversee Foundation budgeting, Foundation financial forecasting, and Foundation cash flow for existing programs, and new projects.
  • Budget manager for Institutional Advancement department.
  • Manage accounting, finance, invoicing and services for the Foundation.
  • Oversee Foundation bookkeeper, CPA, and any relevant financial support staff.
  • Oversee all Foundation audit activities with outside accountants.
  • Prepare Foundation 990 and 5557 (CRUT) annual tax filings.
  • Responsible for Foundation Fund accounting for all funds, scholarships, events, grants, programs, teaching and in-kind donations.
  • Work closely with the College finance team to ensure all budgets, purchase orders and invoices are properly setup and billed to the Foundation.
  • Coordinate efforts with all Foundation banking relationships for deposits, transfers, ACH donations, investment.

Endowment Management

  • Work with the Foundation Finance Committee to implement Foundation investment and spending policies.
  • Monitor financial institutions' performance on behalf of the Foundation.
  • Ensure adequate segregation of duties and other controls are in place to protect Foundation assets.
  • Ensure accuracy of Foundation financial reporting and tracking of endowment funds.

Scholarship and Program Support Accounting

  • Track Foundation and IA scholarship and program funding and accounting.
  • Maintain scholarship schedules in support of College scholarship awards committee and other related Foundation and IA awarding processes.
  • Ensure accuracy of financial reporting and tracking of Foundation and IA scholarship and program funds.
  • Coordinate with College Deans, Finance, Financial Aid, Faculty Program Chairs and other college colleagues on Foundation and IA secured monies.
  • Provide annual reports for donors in coordination with related stewardship efforts to include Foundation investment and distribution updates, as well as Foundation tax reports.
  • Other duties and reporting as directed by the Chief of Institutional Advancement.

Minimum Qualifications

The Operations Director will have the following experience and attributes:

  • Five years of professional experience, managing the finance and administration of a high-growth organization.
  • Bachelor's degree in Business, Management, or Finance.
  • Experience working with and/ or reporting directly to a Board of Directors.
  • Demonstrated experience in financial management and accounting, ideally in the nonprofit sector, and should include legal, audit, compliance, budget, investing and resource development.
  • Excellent knowledge of accounting regulations and procedures, including the Generally Accepted Accounting Principles (GAAP)
  • Demonstrated resourcefulness in setting priorities, proposing new ways of creating efficiencies, and guiding investment in people and systems.
  • Hands on experience with accounting software and technologically savvy, with an ability to implement basic accounting and financial reporting systems.
  • Advanced MS Excel skills including lookups and pivot tables.
  • Decision making and problem solving skills.

Preferred Qualifications

  • Certified Public Accountant.
  • Professional experience managing finance and administration for nonprofit organization(s)
  • MA/MBA preferred.
  • Experience in Financial Edge for financial reporting and Raiser's Edge used for donor management. Experience in private, charitable and public grants accounting.
  • GASB experience.

Compensation: $80.000/yr.
